How to Choose a Software Development Company in India

A practical vendor-evaluation checklist covering scope, communication, code ownership, security, delivery evidence, and total cost—not just hourly rates.

India offers an enormous range of software partners: individual freelancers, specialist studios, staff-augmentation firms, and large consultancies. The best choice is not automatically the lowest rate or the largest team. It is the partner whose delivery model fits your product risk, internal capacity, and need for accountability.

Use the selection process to test how a vendor thinks. A capable team should ask about users, business constraints, current systems, decision makers, data, deployment, and what success looks like—not only request a feature list.

Define what you are actually buying

A fixed project, dedicated developer, discovery engagement, and ongoing product team solve different problems. Write down the outcome, expected responsibilities, required skills, timeline constraints, and who will make product decisions on your side before contacting vendors.

Evaluate relevant evidence

  • Ask for examples with similar technical complexity, even if the industry is different
  • Request a walkthrough of the problem, trade-offs, responsibilities, and measurable outcome
  • Confirm which team members performed the work shown
  • Look for evidence of testing, deployment, maintenance, and iteration—not screenshots alone
  • Speak with a reference when the engagement is business-critical

Test communication before signing

A short discovery call or paid planning exercise reveals more than a polished sales deck. Notice whether the team summarizes decisions, identifies unknowns, challenges ambiguous requirements, and explains technical options in business language.

For international engagements, agree on overlap hours, response expectations, meeting cadence, escalation, and where decisions are documented. For India-based clients, clarify whether collaboration will be remote, in person, or hybrid.

Protect ownership and continuity

  • The agreement should state who owns source code, designs, documentation, and deliverables
  • Repository, hosting, domain, analytics, and third-party accounts should use client-controlled access where practical
  • Credentials and secrets should not be passed through informal documents or chat
  • Define what handoff includes if the engagement ends
  • Ask how another developer could understand and operate the system

Compare total cost, not hourly rate

Malkano Tech services start at $14 USD per hour, but buyers should compare expected effort, team composition, management overhead, defect risk, and ongoing maintenance. A lower rate with unclear scope and frequent rework can cost more than a higher rate with strong discovery and delivery discipline.

Ask every vendor to list assumptions and exclusions. If estimates differ dramatically, investigate whether teams are pricing the same product and quality level.

Review engineering and security practices

  • Source control and code-review process
  • Automated and manual testing appropriate to the product risk
  • Dependency, secret, access, backup, and deployment management
  • Performance and accessibility expectations
  • Monitoring, incident response, maintenance, and upgrade ownership

Red flags worth taking seriously

  • A guaranteed estimate before the team understands the requirements
  • No clear answer about who will work on the project
  • Reluctance to provide repository or infrastructure access
  • Promises that every requested feature fits the first release
  • No plan for testing, deployment, documentation, or support

The practical next step

Shortlist two or three partners and give each the same concise brief. Compare the questions they ask, the risks they identify, the assumptions in their estimate, and the people who will actually deliver the work. The quality of that response is often a better predictor than the sales presentation.
